Terms & Conditions of Enrollment

Welcome to ITOLRecruit! These Terms and Conditions (“Terms”) apply to all course enrolments and use of our services. By purchasing or enrolling in any of our training programmes, you confirm that you have read, understood, and agree to be bound by these Terms. 

These Terms form a legally binding agreement between you (“the Student”, “you”, or “your”) and ITonlinelearning Ltd. (“we”, “us”, or “our”) and set out your rights and responsibilities when using our learning platform and services. 

We are fully committed to transparency and consumer protection. These Terms are written in accordance with current UK legislation, including the Consumer Rights Act 2015, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the Electronic Commerce (EC Directive) Regulations 2002, and related digital content laws. 

Before enrolling, please take a moment to carefully review these Terms. They’re here to help you understand what to expect, what’s included in your learning experience, and how we’ll support you on your training journey. 

Definitions

“ITonlinelearning”, “we”, “us”, “our” – Refers to ITonlinelearning Ltd., the training provider offering online courses, support services, and career development resources. 

“Student”, “you”, “your” – The individual enrolling in or accessing any services or materials provided by ITonlinelearning. 

“Agreement” / “Contract” – The binding agreement formed between you and ITonlinelearning upon enrolment. 

“Course” / “Programme” – Any educational or training offering provided by ITonlinelearning, including access to digital content, exams, coaching, or recruitment support. 

“Digital Content” – Electronic resources made available as part of your course, including videos, documents, study guides, practice assessments, and downloadable files. 

“Portal” / “Learning Platform” – The secure online environment used to deliver training materials, track progress, and communicate with tutors. 

“Tutor”, “Study Coach”, “Mentor” – Academic or career advisors assigned to guide your progress, answer questions, and offer tailored support. 

“Access Period” – The standard or extended period during which you can access your course and support services (typically 12 months). 

“Finance Agreement” – A financial arrangement made with a third-party credit provider or with ITonlinelearning for paying course fees in instalments. 

“Cooling-Off Period” – A 14-day statutory window from the point of sale during which you may cancel your course if no digital content has been accessed. 

“Job Guarantee” – A conditional assurance that we will support your employment journey post-course, subject to full compliance with all eligibility criteria. 

“Exam Voucher” – A unique code provided to register for a certification exam, valid for a limited period. 

“Support Services” – Tutor guidance, administrative help, career coaching, and related services included in your course. 

“Misuse” – Abuse, exploitation, or breach of acceptable usage limits across services, platforms, or personnel. 

“Force Majeure” – Circumstances outside ITonlinelearning’s control which may impact service delivery (e.g. natural disasters, system outages). 

“Website” – Refers to www.itonlinelearning.com.

Course Delivery and Access

  • Once your enrolment has been confirmed, either through full payment or via an approved finance agreement, you will receive your welcome email and login credentials to access our secure online learning platform within 48 working hours depending on the programme you have enrolled in (CMI 5-7 working days). 
  • Your access to the Portal and all associated digital content is granted under a limited, revocable, non-exclusive, and non-transferable licence. This licence is for your personal, non-commercial, educational use only, and is valid for the duration of your access period (typically 3 months unless otherwise stated in your invoice).  
  • Your course materials may include digital learning resources such as on-demand video content, workbooks, study guides, practice assessments, downloadable files, and interactive tools. These are designed to support self-paced learning and are aligned with the outcomes stated in your course brochure or on our website. 
  • Tutor and mentor support is included in eligible programmes. This may include scheduled calls, feedback sessions, and academic or career guidance, depending on the course package. Please expect to be contacted by your tutor’s within 3-5 working days from date of enrolment. You will receive a welcome call or welcome email within 48-72 hours of enrolment with your tutors and study coaches details. 
  • Access to exam booking, recruitment support, and study coaching (where included) will be activated in line with your course progression and may be subject to specific conditions, such as tutor sign-off or minimum completion thresholds. 
  • Sharing login credentials, reproducing or redistributing any part of the course content, or granting access to third parties is strictly prohibited. Any such unauthorised use will result in the immediate termination of your course access without notice or refund and all outstanding amounts must be paid in full – may result in legal action for copyright infringement. 
  • You are solely responsible for maintaining the security of your login credentials and for any activity conducted through your account. If you believe your account has been compromised, you must notify ITonlinelearning immediately. 
  • We reserve the right to modify or update course materials to reflect the latest industry standards or examination frameworks. These changes will not affect the overall value or learning outcomes of your programme. 

Enrolment and Acceptance

  • Your enrolment with ITonlinelearning is considered confirmed once we have received either full payment or confirmation of an approved finance agreement, and we have issued a formal confirmation email to the email address provided during registration. 
  • Enrolment grants you access to the programme as outlined in your chosen course package. This includes access to digital content, tutor support, exam services, and any additional services specified at the time of purchase, subject to these Terms and Conditions. 
  • All information submitted during the enrolment process must be accurate, complete, and up to date. We reserve the right to decline or cancel enrolment, without refund, if any false or misleading information has been provided, or if there is evidence of misuse of services, breach of our policies, or abuse toward staff (inappropriate messages via email/phone call/social media, harassment etc). 
  • Your enrolment is personal to you. Access to the course and any related services is non-transferable and may not be assigned to any other individual or third party. 
  • Enrolment may also be refused or revoked in cases of non-payment, fraudulent activity, suspected data breaches, or any behaviour deemed to be in violation of our Code of Conduct or these Terms. 

Payment and Finance

  • Course fees must be paid either in full at the point of enrolment or through an approved instalment arrangement, which may be offered via a third-party finance provider (such as Premium Credit Ltd) or through an internal ITonlinelearning payment plan. 
  • All finance agreements entered into for the purpose of funding your course are legally binding contracts and are considered separate from the course delivery agreement between you and ITonlinelearning. You remain responsible for all payments under the finance agreement, regardless of your level of course participation or completion. 
  • Cancellation or default of your finance agreement does not constitute withdrawal from the course, nor does it release you from your financial obligations. Any course-related access and support may be restricted or suspended if payments are not made in accordance with your agreed schedule. 
  • It is your responsibility to ensure that any finance application is submitted accurately and that you understand the terms of the credit agreement prior to signing. Failure to meet your obligations may result in additional charges, legal action, and may impact your credit rating. 
  • We reserve the right to refer overdue balances to external collection agencies if payment is not received within the agreed terms. 
  • No certification, exam booking, job support, or final course completion documentation will be released until your course fees have been paid in full. 

Course Access and Duration

  • Access to your course will be granted within 48 working hours of confirmation of your enrolment depending on the programme enrolled in – CMI takes longer, provided payment has been received or a finance agreement has been approved and processed. 
  • Unless otherwise stated at the point of sale or in your confirmation email, all courses come with a standard access period of 3 months unless stated otherwise. This includes access to digital training content, tutor and mentor support, study resources, and, where applicable, recruitment or exam services. 
  • It is your responsibility to manage your time and progress through the course materials within the access period. Extensions may be available on request but are granted at the sole discretion of ITonlinelearning and may incur an additional fee. 
  • Course access is non-transferable and is linked to your individual login credentials. You must not share, sublicense, or allow any third party to use your access to the course or portal. 
  •  If your access expires before completing your course, you will need to request an extension to continue learning. We recommend that you plan your studies and communicate with your tutor regularly to stay on track within your access window. 
  •  Access may be restricted or revoked in cases of misconduct, violation of these Terms, or non-payment of outstanding course fees. 

Cancellation and Digital Content Policy

  • Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the statutory right to cancel your course within 14 calendar days from the date of purchase, provided you have not accessed any part of the digital content. Access includes logging into the learning portal, viewing or streaming course materials, downloading any resources, or beginning any online module. 
  • If you access any part of the course within the 14-day period, you explicitly waive your right to cancel, in accordance with UK digital content legislation. By accessing the portal, you acknowledge that the digital service has begun and is therefore non-refundable. 
  • If you cancel within the 14-day period and have not accessed the course, we will retain 10% of the total sale value to cover administration fees. This fee (administration fee) covers the cost of registration, account setup, digital licensing, and processing. 
  • If you are funding your course through a third-party finance provider (e.g. Premium Credit Ltd), cancelling your finance agreement does not automatically cancel your training or enrolment. You must notify ITonlinelearning directly in writing within the 14-day period if you intend to cancel. 
  • After the 14-day cooling-off period, or once course content has been accessed, no cancellations, transfers, or refunds will be permitted under any circumstances unless the digital content is proven to be defective or inaccessible. 
  • 5.6 All digital content is licensed strictly for individual, non-commercial use. It may not be copied, shared, resold, or distributed in any form. You are granted a non-transferable licence to use the content for educational purposes only. 
  • 5.7 Course licences are activated upon first access and cannot be paused, suspended, extended, or reassigned unless otherwise offered by ITonlinelearning in writing.

Course Extensions and Renewals

  • All ITonlinelearning courses come with a defined access period (3 months for single course programmes and career/job programmes are typically 12 months unless otherwise stated). It is your responsibility to complete the course within this time. 
  • If you require additional time, you may request a course extension. Extensions are granted at our discretion and may be subject to an administration or reactivation fee, unless explicitly waived in writing by ITonlinelearning. 
  • Requests for extensions must be submitted in writing prior to the expiry date of your original access period. Extensions are not guaranteed and are assessed on a case-by-case basis. 
  • If a course is renewed or extended, a new 14-day cooling-off period may apply, but only if no part of the digital content has been accessed since the date of renewal. 
  • Any access granted through an extension is governed by the same Terms and Conditions, including restrictions on digital content use, support availability, and exam eligibility. 

Tutor and Support Services

  • Every student enrolled with ITonlinelearning is assigned a dedicated tutor and a study coach. These individuals are here to help guide you throughout your training journey, providing motivation, accountability, and clarity where needed.  
  • Tutor and mentor support is available via multiple channels: 
    • Email support for academic and technical questions 
    • Scheduled telephone or video calls for in-depth discussions 
    • Progress tracking and check-ins with your study coach 
    • Exam planning and readiness reviews, including feedback on failed exam attempts and how to improve the revision and exam process. 
    • CV and interview coaching, where included in your package 
  • Our support model is built on an on-demand system, meaning students are expected to proactively contact their tutor or coach as needed. This empowers you to manage your learning while having expert guidance available when you require it. 
  • Tutors are available to: 
    • Clarify difficult topics 
    • Assist with exam strategies and timelines 
    • Provide encouragement if you’re falling behind 
  • Your study coach will help you set goals and remain on track throughout your course.  
  • Our standard support hours are Monday to Friday between 8:30am – 5:30pm (excluding bank holidays). We aim to respond to all queries within 48 working hours. 
  • All support is governed by a respectful and professional code of conduct. ITonlinelearning reserves the right to restrict or suspend support in cases of: 
  • Misuse of services, including excessive demands 
  • Abusive or inappropriate language 
  • Violation of these Terms and Conditions 

 

Examinations and Certifications

  • Where exams are included, you must complete relevant training and mock exams prior to sitting official exams. 
  • Exam vouchers are subject to expiry and must be booked within the stated timeframe; failure to do so may result in forfeiture without refund. 
  • Rescheduling /failing / missing exam appointments may incur additional charges – paying the full exam fee in order to book your exam. 
  • ITonlinelearning will not be held liable for the failure of an exam for any reason – e.g.: system incompatibility, internet failures, not reaching out to a Tutor for exam prep, etc. 
  • ITonlinelearning offers training as an Accredited Training Organisation (ATO) for the examining bodies in your programme. Any complaints regarding exam experiences, issues with proctors/invigilators, exam systems/processes, etc. must be redirected to the awarding body directly. Please contact us should you require their details. 

Money-Back / Job Guarantee

  • Some ITonlinelearning programmes include a Job Guarantee or Money-Back Guarantee. Where applicable, this service is conditional and subject to the successful completion of clearly defined criteria. This will be on the Terms of Learning Document provided to students upon enrolment. 
  • To remain eligible for the guarantee, you must: 
    • Complete 100% of your course content, including all required modules, official exams, and official assessments, within the specified timeframe outlined at the point of enrolment. 
    • Pass all relevant certification exams included in your training at first attempt. 
    • Defaulting on payments. 
    • Maintain regular contact with your assigned Recruitment Advisor, including submitting the required weekly update spreadsheets and attending scheduled calls and check-ins. 
    • Actively engage in the job-seeking process as guided by your Recruitment Advisor, including applying for suitable roles, following CV advice, and participating in interview preparation. 
    • Reside in the UK and possess the legal right to work in the United Kingdom for a minimum of three years from your enrolment date. 
    • Demonstrate fluency in written and spoken English to ensure employability in the UK job market. 
    • Maintain a professional, responsive, and respectful approach throughout your training and recruitment journey. 
  • Failure to meet any of the above conditions will result in the forfeiture of your eligibility for the guarantee. This includes, but is not limited to, late submissions, lack of engagement, failing exams, or non-compliance with the Recruitment Advisor’s instructions. 
  • The Job Guarantee or Money-Back Guarantee is not automatic and must be requested and reviewed by our internal team upon course completion. Proof of full compliance with all criteria will be required before any refund is considered. 
  • For clarity, any refund under this guarantee, if approved, will exclude the value of any completed exams, extension fees, administrative costs, or external service charges already incurred. 
  • This guarantee is only available on eligible programmes as explicitly advertised. It does not apply to self-paced short courses, Foundation courses, or where stated otherwise in your Terms of Learning. 

Complaints Policy

  • At ITonlinelearning, we are committed to providing a high standard of service. We understand that from time to time, concerns may arise, and we take all complaints seriously. We aim to resolve issues promptly, fairly, and efficiently, ideally at the first point of contact. 
  • If you are unhappy with any aspect of your course, support, communication, or experience, you should raise your concern as soon as possible by contacting your assigned tutor, study coach, or a member of our support team. 
  • If the issue cannot be resolved informally, you may submit a formal written complaint by emailing complaints@itonlinelearning.com. Your complaint should include: 
    • Your full name  
    • A clear summary of the issue 
    • Details of any previous communication or attempted resolutions 
    • The outcome you are seeking 
  • Once received, your complaint will be: 
    • Acknowledged within 3 working days 
    • Reviewed by a senior member of our team 
    • Investigated depending on the nature of your complaint, timelines on resolutions will be communicated and adhered to by the staff member assisting you thoroughly and fairly 
  • We aim to provide a formal resolution within 8 working weeks, though complex cases may take longer if further evidence or third-party input is required. 
  • If you are not satisfied with our final response: 
    • Data privacy complaints can be submitted to the Information Commissioner’s Office (ICO) (www.ico.org.uk) 
  • We welcome your feedback and are committed to continuously improving our service based on the concerns raised. 

GDPR and Data Protection

ITonlinelearning values your privacy. We process all personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. 

We collect, store, and process your data for the following lawful purposes: 

  • Course enrolment and administration 
  • Communication of course-related information 
  • Assessment processing and exam booking 
  • Support services and recruitment guidance 
  • Legal compliance and auditing (e.g., finance contracts) 
  • We only retain your data for as long as necessary to fulfil these purposes and comply with legal or regulatory requirements. 

 Your personal data will not be sold or shared for marketing purposes. We may share limited data with third parties such as: 

  • Accreditation and certification bodies (e.g. CompTIA, PeopleCert) 
  • Finance providers (e.g. Premium Credit Ltd) 
  • IT service providers (for platform delivery and email systems) 

You have full control over your data, including the right to: 

  • Access your personal data 
  • Request corrections or updates 
  • Request data deletion (subject to legal exemptions) 
  • Restrict or object to processing 
  • Lodge a complaint with the ICO 

Additionally, as part of our ongoing efforts to showcase student success: 

  • We may offer you the opportunity to provide a video testimonial, but you are under no obligation to complete or submit one. 
  • If you choose to participate, we will request your explicit, written consent before posting your testimonial to any public platform, including social media or our website. 
  • Students enrolled in Job or Career Programmes may also be asked for a photo upon successful job placement. This too is entirely voluntary and requires your express, written consent prior to use.

Limitation of Liability

  • While we aim to deliver high-quality training and support, ITonlinelearning shall not be liable for: 
    • Any indirect, special, or consequential losses 
    • Loss of opportunity, business, income, or employment 
    • Exam result outcomes or job placement success (unless under a valid job guarantee and subject to meeting all criteria) 
  • Our maximum liability under these Terms, whether in contract, tort (including negligence), or otherwise, shall not exceed the total fees paid by you for the course package in question. 
  • We accept no responsibility for interruptions or delays caused by external factors including force majeure events, third-party service failures, or your own equipment, connectivity, or browser compatibility. 
  • Updates to Course Syllabi and Accreditation Standards:  From time to time, accrediting or awarding bodies may update, modify, or replace existing syllabi, exam formats, or course materials. These updates are outside of ITonlinelearning’s control and may lead to changes in course delivery timelines or requirements. Students will be informed in due course of any changes to the syllabus or structure of their course that result from these updates. However: 
    • Students who choose to wait in anticipation of a syllabus update do so at their own discretion. 
    • ITonlinelearning will not be held liable for delays, transitions, or the withdrawal of outdated materials caused by awarding body updates. 
    • Students opting to transition to the latest syllabus may be liable for any additional charges incurred, including exam resits, new materials, or updated lab content. 
    • ITonlinelearning does not absorb fee increases passed down by awarding bodies in the event of certification or exam cost changes. 
  • Students are encouraged to continue their learning using the current course structure available to them at the time of enrolment to avoid potential delays or additional costs associated with syllabus transitions.

Changes to Terms

  • ITonlinelearning reserves the right to update or revise these Terms and Conditions at any time to reflect legal changes, policy updates, or improvements to our service. 
  • Any changes will be posted on our website with the effective date. We recommend reviewing the Terms regularly. Continued use of our services after changes have been published will be deemed as acceptance of the revised Terms. 
  • In cases of significant updates, we will notify active students via email. Please note, however, that if you have marked our communications as spam or unsubscribed from our email list, we may be unable to reach you with such updates. In such instances, we cannot be held responsible for missed notifications, as we will have made a reasonable attempt to inform you via the channels provided at enrolment. 

Governing Law and Jurisdiction

  • These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of England and Wales. 
  • The parties agree to submit to the exclusive jurisdiction of the courts of England and Wales to resolve any disputes arising from or relating to this Agreement.

Website, Accessibility and Technical Requirements

  • Our learning platform is web-based and requires access to a stable internet connection and a modern web browser. Compatibility with Chrome, Firefox, or Microsoft Edge is recommended. 
  • You are responsible for ensuring that your devices meet the technical requirements to access and interact with all course components. 
  • If you have specific accessibility needs, contact us so we can assist where we can. 
  • Occasionally, website and learning portal updates or maintenance may cause temporary disruptions. We aim to communicate these in advance where possible.

Exam Policy

Policy Objective

To ensure transparency and uphold the highest standards of examination integrity, this section outlines in detail the regulations, technical requirements, and procedures specific to each examining body that ITonlinelearning partners with. This includes identity verification, system testing, conduct expectations, and accessibility policies. 

Scope

This policy applies to all students preparing to sit certification exams through PeopleCert, APMG International, CompTIA, BCS, Microsoft, AWS, Oracle, Cisco, and DMI (Digital Marketing Institute). 

Definition

“Exam” refers to any formal certification exam delivered online or in person via an authorised test platform or centre. “Exam Provider” refers to the official body or proctoring service responsible for delivery, scheduling, and supervision. 

Privacy Statement

All student data processed for exam registration, delivery, and proctoring is done in accordance with UK GDPR. This includes identity verification, video/audio capture, location/IP checks, and system scans. Each certification body applies their own privacy terms, which the student must agree to upon booking. 

General Exam Rules and Responsibilities

  • Students are responsible for checking their system requirements and running a technical compatibility check before the exam. 
  • Candidates must enter the exam portal at least 15–30 minutes before the start, unless otherwise stipulated in communications from the ITonlinelearning Exams Department or communications directly from the examining body. 
  • ID must be presented on camera and verified. 
  • No unauthorised materials are permitted unless stated in advance. 
  • Disruptions, failure to follow proctor instructions, or cheating attempts may result in disqualification or a ban. 

Reasonable Adjustments

ITonlinelearning and its examining partners are committed to inclusive practices. Adjustments are available for: 

  • Visual, hearing, or mobility impairments 
  • Cognitive or learning differences 
  • Medical or psychological conditions 
  • Religious observances 

Adjustments may include:

  • Additional time (25%–100%) 
  • Rest breaks or stop-the-clock breaks 
  • Use of readers, scribes, or interpreters 
  • Assistive technology (e.g., screen readers, dictation software) 
  • Modified exam materials (e.g., coloured paper, large print) 

Requests must be submitted at least 14 working days before the exam and accompanied by evidence. 

Specific Exam Provider Policies

PeopleCert (ITIL®, PRINCE2®)

PeopleCert is an internationally recognised examination institute, best known for managing and delivering certification exams on behalf of AXELOS (ITIL®, PRINCE2®). Exams are delivered online through the proprietary Web-Based Exam Driver (WBED). 

  • Exam Format: Multiple-choice; select exams allow open-book. 
  • Duration: 60 to 150 minutes depending on the certification. 
  • Pass Mark: Ranges from 60% to 65%. 
  • Platform: PeopleCert ExamShield – must be installed in advance. 

Candidate Requirements: 

  • Valid photo ID (passport or government-issued) 
  • A clean, quiet environment with adequate lighting 
  • Webcam and microphone 
  • Full room scan and desktop environment check 
  • Door into the exam room must be visible and closed for the duration of the exam. 

Reasonable Adjustments: Available upon request, in accordance with PeopleCert’s accessibility policy. Contact must be made at least 10 days before exam. 

APMG International

APMG International is a global accreditation body overseeing qualifications in AgilePM®, Change Management, IT asset management and more. APMG International exams are administered remotely using the ProctorU platform. 

  • Exam Format: Multiple choice and objective testing, fully timed. 
  • Duration: 40 to 150 minutes depending on the qualification. 
  • Pass Mark: 50%–65% depending on the level. 
  • Proctoring Platform: ProctorU Live+ And/or APMG In-Person Proctoring for real-time remote monitoring. 

Technical Requirements: 

  • Browser lockdown tools 
  • Microphone, webcam, stable internet 
  • No other individuals or disturbances allowed in testing space 

Candidate Expectations: 

  • Must log in 30 minutes before the exam 
  • ID verification and full-room scan 
  • Remain visible on camera for the full duration 

Association for Project Management (APM)

APM is the UK’s only chartered membership organisation for project professionals. It offers certifications such as:

  • PMQ:  APM, like all awarding bodies, has a rolling question bank with hundreds of questions that appear differently each time someone sits the exam. If you were to sit the APM PMQ exam more than once, you would not get the same questions.  
    • As per APM: “Passing the exam doesn’t require that you complete all questions correctly; it will be possible for you to demonstrate a lower level of proficiency for some competences than the levels indicated in the syllabus and still pass the exam.” 
    • The pass mark for the APM Project Management Qualification will vary between exam versions to take account of slight differences in question difficulty between different exam versions. The exam has a maximum score of 90 marks. If your overall score is a borderline fail (i.e. within 3 of the pass mark) it will automatically be re-marked. 

Platform: Exams administered via the Surpass Assessment System 

Exam Day Requirements: 

  • Valid photographic ID

  • Clear, quiet space – for PMQ, additional resources will be communicated to you by our Exam department or Examining body. 

Accessibility: 

  • Reasonable Adjustments can be made to the exam conditions in place for the APM Project Management Qualification.  
  • Reasonable adjustments are used to support you if you are experiencing a short- or long-term condition or are regarded as disabled in terms of the Equality Act 2010.  
  • All reasonable adjustments are made on an individual basis and will vary from person to person, according to each individual’s specific needs.

The Computing Technology Industry Association (CompTIA) offers vendor-neutral certifications in technical support, networking, cybersecurity, and cloud. Recognised worldwide by employers. 

  • Exam Format: Multiple-choice, performance-based; delivered via Pearson VUE. 
  • Duration: 90–165 minutes (varies by exam e.g., A+ or Security+). 
  • Pass Mark: 675–750 out of 900 depending on exam. 
  • Requirements: System test, webcam, microphone, room scan. No other devices or materials allowed. 

BCS, The Chartered Institute for IT

BCS, the professional body for IT practitioners in the UK, offers a range of certifications in areas such as Business Analysis, Software Testing, Agile, and Data Management. Exams are delivered both online and in person. 

  • Exam Format: Multiple choice or written short answer, depending on the qualification. 
  • Duration: Typically 90–120 minutes. 
  • Pass Mark: Approximately 65%. 
  • Exam Environment: Remote invigilation or test centre attendance. 

Candidate Requirements: 

  • Valid ID 
  • Stable internet connection, webcam and microphone 
  • Distraction-free room for exam duration 

Reasonable Adjustments: 

  • BCS offers a comprehensive adjustments process including extra time, support workers, assistive technology, and exam content in alternate formats (e.g. large print, coloured paper).

AWS (Amazon Web Services)

AWS certifications validate expertise in cloud architecture, operations, and development. Exams range from foundational to professional levels. 

  • Exam Format: Multiple-choice and multiple response; via Pearson VUE or PSI. 
  • Duration: 90 to 180 minutes depending on level. 
  • Pass Mark: Approx. 70%. 
  • Requirements: Valid ID, webcam, microphone, clean desk, secure browser setup. 

DMI – Digital Marketing Institute

DMI certifies digital marketing professionals in content strategy, analytics, PPC, SEO, social media and more. Courses are aligned with global marketing standards. 

  • Exam Format: Online via ProctorU; objective-based. 
  • Duration: 60 – 120 minutes. 
  • Pass Mark: Between 60–70% depending on programme. 
  • Requirements: Functional webcam, microphone, room scan, secure browser, ID verification. 

All students are required to read the exam-specific guidance provided on the exam booking platform and complete technical checks before the exam day. Failure to meet platform or conduct standards may result in cancelled results or loss of exam eligibility. 

Students with any accessibility needs or requiring exam accommodations must inform ITonlinelearning and the exam body at least 10 working days in advance of their intended exam date.

Policy Objective

To assist eligible students through the post-training job search process by offering structured, industry-informed recruitment support and coaching. This is not an employment placement service but a structured support system designed to prepare candidates for entering the workforce. 

Scope

This policy applies to all students who have purchased the CV review and recruitment support services and who have completed their course training and exams in full and meet the eligibility requirements set forth in their Terms of Learning and recruitment agreement. 

Support Services Include:

  • Professionally crafted CVs tailored to your industry. 
  • LinkedIn optimisation coaching. 
  • Industry knowledge sessions and market trends overview. 
  • Interview preparation including coaching and mock interviews. 
  • Personalised career coaching. 
  • Access exclusive recruitment resources. 

Process Overview

  1. Onboarding Call After completing all course requirements, you will be contacted by your assigned Recruitment Advisor. They will request your CV, certifications, and supporting documents. 
  1. CV Development Within 10 working days of your introduction call, your advisor will prepare your CV in both Word and PDF formats. 
  1. LinkedIn Setup During this period, you will be guided to improve your LinkedIn profile using provided resources. 
  1. Follow-Up Call A call will be scheduled 1–2 days after you receive your CV to review, edit, and finalise it. LinkedIn progress will also be assessed. 
  1. Application Period You will independently apply for roles for two weeks and track them using our provided spreadsheet. 
  1. Coaching Call After two spreadsheet submissions, your advisor will conduct a coaching session based on your application data, offering insight into job boards, role targeting, filters used, and application volume. 
  1. Ongoing Support Fortnightly check-ins, job board strategy, and role suggestions will continue for up to 12 months from your first recruitment call or until job offer. 

Candidate Responsibilities

  • Submit your weekly job application spreadsheet every Friday. 
  • Inform your advisor about all interview invites. 
  • Request interview prep (minimum 3 working days’ notice required). 
  • Maintain respectful and professional communication at all times. 
  • Inform your advisor if you accept a job or wish to pause recruitment support. 

Exclusions and Limitations

  • We do not apply to jobs on your behalf due to GDPR restrictions. 
  • No sponsorship is provided for work Visas. 
  • Only students who reside and are authorised to work in the UK for at least 3 years from the date of enrolment are eligible for the job guarantee pending a review of their profiles. 
  • Candidates who are only available for part-time roles or insist exclusively on remote or hybrid positions may not be eligible, as we require flexibility to apply for a broad range of opportunities, including in-office roles, to maximise employability.  

Loss of Guarantee May Occur If

  • You fail to send weekly spreadsheets. 
  • You break communication with your advisor. 
  • You reject a job offer without reasonable cause. 
  • You fail a DBS check (if applicable to your desired role). 
  • You begin full-time employment and attempt to continue recruitment assistance. 

Duration of Support

Recruitment support is offered for a period of 12 months from the date of your recruitment onboarding call, unless a job offer is secured earlier. During this time, you are expected to remain actively engaged in the process and respond to all communications.

Enrolment Period & Extensions

Policy Objective

To ensure clarity regarding the duration of course access for ITonlinelearning students and to provide a fair, structured approach for course renewals and extension requests based on qualifying and non-qualifying circumstances. 

Scope

This policy applies to all students enrolled in short courses, certification programmes, and full career programmes delivered by ITonlinelearning, either self-funded or financed through ITOL Finance or Premium Credit. 

Definition

  • Enrolment Period: The access window provided to students to complete their studies. Standard enrolment periods range from 3 to 12 months, depending on the course or career programme selected. 
  • Extension: Additional time granted beyond the original enrolment period to complete your course. 
  • Renewal: A formal re-enrolment into the course or programme following the lapse of the original enrolment period, typically subject to additional costs. 

Privacy Statement

All personal data related to enrolment and extension requests is handled in accordance with UK GDPR and the Data Protection Act 2018. This includes information submitted during application, support requests, and evidence provided for extensions. 

Submitting an Extension Request

Students are encouraged to complete their studies within their assigned timeframe. However, should additional time be required: 

  • Late submissions (after the access window has closed) may require full renewal at the applicable rate. 
  • Requests will be reviewed by the Support Team and a response issued within 5 working days. 

Length of Extension

  • Standard extensions are granted for up to 3,6 or 12 months depending on the situation. 
  • In rare cases where additional time is justified, extensions may be granted for longer upon management approval. 
  • Renewals may be offered with or without access to the job guarantee and other recruitment services depending on original course terms. 

Qualifying Circumstances

Students may qualify for an extension based on the following: 

  • Medical conditions or prolonged illness (supporting documentation required) 
  • Bereavement or significant life disruptions 
  • Approved accessibility needs or learning difficulties 
  • Documented technical issues that impacted study time 
  • Exam retake scheduling delays outside the student’s control 

Non-Qualifying Circumstances

The following do not typically qualify for a free extension: 

  • General workload or personal time management issues 
  • Failure to reach out to mentor or support team for help 
  • Forgetting to complete or book exams within access window 
  • Lack of awareness of access expiry date 
  • Changes in employment status or relocation 

These cases may still be eligible for a paid renewal package. 

Eligibility

To be eligible for an extension or renewal: 

  • The student must be in good financial standing with no overdue balances 
  • Course progress and exam history may be reviewed to assess intent and effort 
  • No abuse of the policy or repeated extension cycles without completion 
  • Students enrolled through Premium Credit must continue to meet their finance obligations regardless of course access status. 

Important Note

Extensions do not reactivate lapsed guarantees (such as the Money-Back or Job Guarantee), but recruitment support continues as long as programme conditions have been fulfilled during your access window.

Complaints Policy

Policy Objective

To provide a fair, consistent, and transparent process for addressing complaints raised by students or prospective students. ITonlinelearning is committed to resolving all complaints professionally, efficiently, and in line with legal and regulatory expectations, with the goal of improving our services and learning environment. 

Scope

This policy applies to all formal and informal complaints raised by students, employers, partners, or other stakeholders relating to ITonlinelearning services, products, communication, staff behaviour, or compliance. 

Definition

A “complaint” is defined as an expression of dissatisfaction made to ITonlinelearning, relating to a product, service, interaction, or decision, where a response or resolution is expected. 

Privacy Statement

All complaints are handled confidentially and in accordance with UK GDPR and the Data Protection Act 2018. Personal data and complaint records will only be accessed by authorised personnel and used for resolution and service improvement purposes. 

Complaints Handling Procedure

Informal Resolution

Where possible, we encourage all complaints to be resolved informally at the first point of contact. Our frontline support staff and tutors are trained to resolve issues promptly and directly related to their expertise. Immediate resolution is prioritised where no in-depth investigation is required. 

Formal Resolution

Where informal resolution is not possible or the student remains dissatisfied: 

  1. Email complaints@itonlinelearning.com with the subject line “Formal Complaint”. 
  1. Include your full name, a description of the issue, dates/times, and any supporting evidence. 
  1. Your complaint will be assigned a unique reference number and acknowledged in writing within 3 working days. 
  1. A Senior Manager or Complaints & Compliance Officer will investigate the issue, potentially liaising with subject matter experts. 
  1. You will receive a final written decision and summary of our findings within 8 weeks of submission unless otherwise communicated. 

Appeals

If you are not satisfied with the outcome of your complaint: 

  • You may request a secondary review by a senior member of our executive team within 14 days of the final response. 
  • If the complaint relates to financial services or your legal consumer rights, you may escalate to the Financial Ombudsman Service:

Change of Circumstances

Policy Objective

To offer a clear and supportive approach for students experiencing unexpected or significant life changes that affect their ability to continue their training. This policy aims to provide equitable solutions while maintaining compliance with ITonlinelearning’s standards, enrolment policies, and external finance agreements. 

Scope

This policy applies to all ITonlinelearning students, whether enrolled through self-funding, internal payment plans, or third-party finance agreements (such as Premium Credit), who wish to request course adjustments due to life-altering circumstances. 

Definition

A “change of circumstance” is any unplanned, serious personal situation or disruption that impacts a student’s ability to meet their course commitments. These may include: 

  • Bereavement 
  • Illness or injury (student or immediate family member) 
  • Mental health concerns 
  • Redundancy or significant financial hardship 
  • Change in caregiving responsibilities 
  • Military deployment or long-term travel for work 

Privacy Statement

All requests are treated with sensitivity and confidentiality. Personal information and supporting documentation submitted to ITonlinelearning as part of a Change of Circumstances request are protected under UK GDPR and the Data Protection Act 2018. 

Eligibility

To be eligible: 

  • You must be an active student or have completed training within the last 3 months. 
  • There must be no unresolved breaches of the terms and conditions or finance defaults. 
  • You must demonstrate engagement in your training and a willingness to resume or continue where possible. 
  • You must provide supporting documentation (e.g. medical letter, redundancy confirmation, care plan). 

Financial difficulties may qualify where evidence of hardship is provided and discussed with the Accounts Team. However, financial hardship alone does not automatically entitle a student to free extensions or early cancellations. 

Procedure

  1. Submit a written request to support@itonlinelearning.com with “Change of Circumstances Request” in the subject line. 
  1. Provide a detailed explanation of your situation. 
  1. Attach relevant supporting documents. 
  1. Our Support Team will acknowledge receipt within 3 working days. 
  1. A resolution will be offered within 5–7 working days, which may include: 
    • Course pause 
    • Time-limited extension (1–6 months) 
    • Renewal option at reduced cost 
    • Ongoing support check-ins 

Key Points to Note

  • Your legal finance obligations remain unless otherwise negotiated with the lender. 
  • The Job Guarantee or Money-Back Guarantee may not be extended through this policy. 
  • Repeat requests or late engagement may limit the options available. 
  • Requests submitted after course expiry may not qualify for free resolution.

Student Code Of Conduct

Policy Objective

To outline and establish the standards of behaviour and expectations for all students enrolled at ITonlinelearning. This Code of Conduct promotes a respectful, inclusive, and self-directed learning environment, while ensuring alignment with UK education law and ITonlinelearning’s values, ethics, and service promise.

Scope

This Code applies to all learners from the point of enrolment through to course completion, regardless of the programme or method of delivery. It covers interactions with ITonlinelearning staff, tutors, study coaches, external exam providers, other learners, and any use of ITonlinelearning platforms, services, and resources.

Definition

“Student Conduct” encompasses behaviour, communication, academic integrity, use of digital content, engagement with support services, and professional etiquette during the learner journey.

Your Programme Includes:

Depending on your enrolment, your programme may include:

  • Official exam vouchers (where applicable)

The Agreement Between Us:

  • Legally binding financial commitments 
  • Use of services as per UK digital content and consumer laws 

Signing Up to a Study Programme:

By registering with ITonlinelearning, you confirm: 

  • All submitted information is accurate 
  • You have reviewed your Product PDF, Terms of Learning and Invoice. 
  • You understand that course access is time-limited and self-directed 
  • You accept these Terms and Conditions, including this Code 

Enrolment:

  • Enrolment is confirmed when we receive payment or finance approval. 
  • You will receive your welcome email, login credentials, and support information within 5-7 working days. 
  • Tutor and career support services are initiated once you begin your studies and remain active throughout your access period. 

Your Obligations:

Students agree to: 

  • Take ownership of their learning schedule and study pace 
  • Students are required to reach out to tutor or our support team when they need assistance or have any questions or queries. 
  • Keep scheduled tutor and recruitment calls or provide notice to cancel within 24 – 48 hours notice. 
  • Maintain respectful and professional conduct 
  • Follow tutor guidance and internal assessment as required as needed for exam clearance 
  • Avoid plagiarism, cheating, or unauthorised sharing of course content

Proactive Engagement:

You are responsible for managing your own progress: 

  • Set personal learning goals 
  • Reach out for tutor support 
  • Track progress regularly with your study coach 
  • Participate in scheduled calls and reviews 
  • Complete courses and exams within the assigned timeframes 

Time Management:

  • Develop and follow a personalised learning plan 
  • Plan ahead for exam prep’s, tutor check-ins, and assessments 
  • Make use of weekly and monthly time management templates provided by your tutor 

Communication:

  • Communicate respectfully at all times (Mondays – Friday , 8:30am – 5:30pm UK time) via phone, email, or teams call 
  • Report issues or concerns early so we can support you efficiently, you can do so by emailing your respective tutor or study coach or support@itonlinelearning.com  
  • The email turnaround time expectations from staff to student is one working day depending on the respective department. 
  • Notify ITonlinelearning if your contact details change or if you experience interruptions to your study 

Adaptability and Resilience:

  • Accept constructive feedback and use it to improve 
  • Embrace challenges as part of personal and professional growth 
  • Be open to adjusting your learning strategies when needed 

Technical Readiness:

  • Have access to a stable internet connection and a up to date laptop or PC 
  • Ensure you have a quiet study space for exams and tutor calls 
  • Maintain functional webcam and microphone access for video-based support 

Compliance:

Adhere to ITonlinelearning’s terms and policies including: 

  • Course delivery and support 
  • Exams and resits 
  • Refund and digital content usage 
  • Communication, equality and anti-bullying standards 

Course Materials:

  • All digital content is licensed for personal educational use 
  • Do not share login details or distribute training materials 
  • Recordings of tutor sessions are not permitted unless expressly communicated by the tutor. 

Fees:

  • Payment must be completed according to the agreement signed 
  • Cancelling a finance agreement does not cancel your ITonlinelearning enrolment 
  • No exam bookings, certifications or job support will be released with unpaid balances 

Ownership of Course Materials:

  • All training materials, delivery systems, and content remain the property of ITonlinelearning or our accredited partners 
  • Use of materials outside of your course is prohibited 
  • Breaches may result in disciplinary action or legal proceedings 

Academic Integrity:

  • Cheating, plagiarism, impersonation, or falsifying coursework will not be tolerated 
  • Students found in breach of academic rules may lose access without refund 

Inclusive Environment:

  • We are committed to a supportive and discrimination-free space for all students 
  • Any form of harassment, hate speech or abuse may lead to investigation and action under this Code
